Memberships

5 parts

01Where this usually starts

Membership runs across a spreadsheet, a payment provider and a mailing list. Renewals get chased by hand and some are missed entirely. A failed card surfaces weeks later. Nobody can tell you how many members you have right now.

02What changes

What you end up holding.

  • 01Members joining and paying without a person in the loop, at any hour
  • 02Renewals, failed payments and card expiries handled on their own, politely and in your tone
  • 03Tiers, concessions, corporate accounts and joint memberships working the way your rules say
  • 04Members managing their own details, their own people and their own payments
  • 05An honest live figure for members, revenue, and who is drifting away before they leave

Renewal collection up, failed cards recovered on their own, and a member count that is right this morning.

03The pieces

What a system like this is usually made of.

You will not want all of it on day one, and you should not pay for all of it on day one. The estimator lets you choose, and shows what each one adds.

Keeping in touch at scale

Reaching the right part of your list, at the right time, and knowing what came of it.

Invoicing

Invoices raised from what actually happened, under your contract terms however awkward.

Taking payment

Card, bank transfer and direct debit, reconciled against the invoice without anyone matching them up.

Recurring charges

Subscriptions, retainers and memberships billed on time, with failures recovered on their own.

Members looking after themselves

Their details, their colleagues, their payments and their own record of what they have paid.

The sort of detail that matters

  • Staged payments and retentions
  • One consolidated account across a customer's sites
  • Paid from a link in the invoice
  • Direct debit collected on the day it is due

04How it would run

10 to 20 weeks, in five phases you approve one at a time.

  1. 01

    Getting to the truth

A written account of how your work really runs today, what the current way is costing you, and what your new system has to do about it.

  2. 02

    Shaping it

Every screen and every decision your system will make, in front of you and signed off, with your live date fixed at the end of it.

  3. 03

    Building it

Your system takes shape week by week in your own account, with something you can click on and try at the end of every fortnight.

  4. 04

    Proving it

Your own people put it through real work with real records, and everything they find is fixed before anybody depends on it.

  5. 05

    Going live

Your team moves across trained, with their history intact, on the date fixed months earlier.

What happens in each of them

05Asked most often

The questions that come up.

Our membership rules are unusual.

Household memberships, corporate seats bought in blocks, concessions with eligibility that has to be evidenced, life members, joining pro-rata part way through a year, tiers carrying different voting rights. Rules like yours are what defeat the packaged systems.

What happens when a card fails?

It retries on a sensible schedule, tells the member in good time, and reaches you only when it genuinely needs a person. Most failed payments recover on their own when the chasing is decent.

Can members see and change their own details?

That is the point. Address, payment method, colleagues on a corporate account, communication preferences, and their own record of everything they have paid.

06The rest of it

Most projects are two or three of these at once.

Put a date on it.

Half an hour with whoever would build it gets you the shape of the work, a figure you can take to your board, and the week it could start. No deck, no discovery fee, no follow-up sequence.
